01

Start with one reliable member record

Choose one place to maintain names, contact details, membership plans, and membership dates. When information changes, update that record rather than keeping a second list at reception. Before importing or entering existing members, remove duplicates and check missing phone numbers.

02

Separate membership status from payment history

A payment record answers what was collected. Membership dates answer when someone has access. Review both when renewing a member, especially when a late payment or a plan change is involved. Make the renewal procedure explicit for every staff member.

03

Give each shift the same handover

Before a shift ends, review new members, renewals, and unresolved questions. Keep staff working from shared records instead of relying on a private message thread. Give staff their own account where available.

04

Build a short daily review

At opening, check upcoming membership expiries and fee deadlines. At closing, reconcile collections and resolve incomplete records. A routine that your team actually follows is more useful than an elaborate report nobody opens.
